An associate in the apprenticeship role will have specific job roles and responsibilities based on the job description. Employment commitment to SRHS is required at the end of the apprenticeship period for varying times, as specified in the apprenticeship paperwork.

Informal experience requested by a student to increase the understanding of professional roles are classified as shadowing experiences. Important notes related to shadowing include:
• Minimum age required for shadowing in the healthcare system is 16 years. (Some areas require the participant to be 18 years of age or meet additional requirements.)
• Shadowing is not associated with educational credit for a course.
• Shadowing experiences are unpaid.
• While shadowing, observation is allowed only. No assigned tasks or duties will be given to participant while on site.
• Participant is never left alone with patients.
• No employment agreement is in place.
• Hospital onboarding requirements are determined based on number of hours spent in observation setting.
• Some areas of the hospital are restricted from shadowing experiences.

Experiential learning that integrates knowledge and theory from the classroom with practical application and skills in a professional workplace is considered an internship.
Important notes related to internships include:• Minimum age required for internship participation in the healthcare system is 16 years.
• Student may work 1:1 with a patient and/or have specific job duties assigned.
• Unpaid participants will have specific course objectives to fulfill during the internship experience.
• Paid participants are employed as SRHS associates with specific job roles and responsibilities outlined in the job description.

Clinical Student Services

The first step for any clinical rotation is to establish an affiliation agreement between the academic institution and Spartanburg Regional Healthcare System. One of the key responsibilities of the Clinical Student Services team is to support the safety of students, patients, and healthcare providers. This is achieved through compliance with the policies, procedures, guidelines, and regulations of the hospital system, communicated through the onboarding process.

Academic Coordinators initiate requests on the student’s behalf. This is important since a legal affiliation agreement between the school and hospital system must be in place prior to any clinical rotation.

SRHS utilizes myClinicalExchange (mCE), a web-based automated tool, to assist in managing clinical compliance with regulatory standards for students assigned to clinical rotations in the hospital system. You will receive information related to mCE once you are assigned to an approved rotation. If you are unfamiliar with the mCE system, please contact Cynthia Payton at [email protected] if you are in a Nursing program, or Latrice Henderson at [email protected] for any other program.
**Please note, the mCE registration fee is covered by SRHS and no payments should be submitted by the school or student.

Each student associated with a clinical rotation at SRHS must complete and receive approval for all items in the student checklist in mCE. Health requirements should be reflective of the immunizations needed for entry to most health programs.
- A green thumb up beside the student’s name indicates s/he has completed all requirements prior to the rotation.
- A red thumb down indicates one or more items required for compliance have not been completed.
The checklist will include the following immunizations & documentation, along with demographic requirements, and SC Passport or HealthStream modules, as assigned:
- Hepatitis B immunization or signed declination (declination form available in mCE)
- Documentation that the student is free from the following by titer or immunizations:
- Rubeola – positive titer or 2 MMR vaccines
- Mumps – positive titer or 2 MMR vaccines
- Varicella – positive titer or 2 Varicella vaccines
- Rubella – positive titer or 1 MMR vaccine
*Documentation of 2 MMR vaccines or 2 Varicella Vaccines supersedes titer results
- Baseline TB Risk Assessment and Symptom Evaluation – located under the Exam tab in mCE
- If you answer yes to any part of the Symptom Evaluation you may be asked to provide documentation you are free from active TB from a provider, health department, or student health RN.
- Recent Baseline TB screening by one of the following is required prior to the first clinical experience:
- Negative initial 2-step PPD, IGRA-GFT Gold, or T-spot
- Documentation of positive TB test and documentation of clearance from the Department of Health, Chest Xray, and documentation of completed treatment
- Complete education regarding risk factors, signs, and symptoms of TB
- Tetanus within 10 years recommended, Tdap preferred
- COVID-19 vaccination, exemption, or declination
- Influenza vaccine or declination due annually
Clinical Student FAQs

Student rosters will be provided to the SRHS Student Clinical Services Liaison from the Clinical Coordinator, Instructor, or school designee, and uploaded into mCE to create a student account. Once the account has been created, students will receive an automated email with instructions on accessing the account to begin the compliance checklist.

No; please do not pay any fees related to your mCE account. SRHS covers the cost of mCE accounts for students and instructors completing rotations within the organization.

Students will be provided HealthStream login credentials after the compliance list has been submitted and approved. HealthStream notification will be provided via email.

Vaccination documentation is required as a part of the compliance checklist. There are declination options for the Influenza and the COVID-19 vaccination.

No, all documents must be uploaded and submitted through mCE.

The student’s Social Security number is required for security clearance to obtain a student ID for the documentation system, EPIC. By submitting the information in mCE, it remains secure data between the student and the hospital system.

Yes. Any student or instructor providing direct patient care is required to have a recent Criminal Background screening on file.

Student photographs are used to create a professional student identification badge, which is a required part of the uniform to be worn during all clinical rotations.

Declination forms are available for Hepatitis B, influenza, and COVID. All other immunizations listed on the checklist are required for direct patient care rotations.

The SRHS User ID is issued by the Human Resources Department as part of the final step of the compliance process. All demographic information must be provided in mCE in order for the User ID to be requested by the Workforce Development Team. Therefore, the sooner you enter your demographic information, the quicker the user ID and HealthStream modules can be provided to you.
